Los Willows Policies
General
Los Willows can acommodate a maximum of 250 guests. Since only one event is held at a time, you may start your wedding at any time up until 5:00pm. All events must close at 10:00pm. Music and bar services will shut down thirty minutes prior to end of events.
All pricing is subject to change. Once an event is scheduled, Los Willows will honor the package price at time of booking. Should you need to reschedule, you will be subject to any pricing or policies at the time of scheduling.
Los Willows will reserve a date and time for a one-hour rehearsal. If a date change is required, Los Willows will schedule the change no sooner than thirty days prior to the event so as not to interfere with other events.
Los Willows is not responsible for any damage or loss to any merchandise, articles, or valuables located on the premise prior, or subsequent, to any function.
Fees & Payment Schedule
A $1,000 reservation fee is required to reserve a date. This fee is non-refundable in the event of cancellation. The reservation fee will be applied toward your final balance, which is due 14 days prior to the event. 25% of the package price, based on guest minimums, is due six months prior to event. A second 25% payment is due six months prior to event. All mandatory payments received toward an event are non-refundable upon cancellation. All payments may be made by cash, check, Visa, MasterCard, or Discover.
A $500 security deposit will be added to your final invoice and will be returned to you ten days following your event, providing no damages have incurred.
Guarantee
The number of guests attending must be confirmed fourteen days prior to the event. This number will be a guarantee for billing purposes that may not be reduced after that date. Los Willows will charge its published per person rate for any additional guests in excess of your final count. In the event that the number of guests attending is below the minimum guarantee, you will still be charged the guarantee amount.
Cancellations
Reservation fee may be transferred one time to another newly scheduled date, so long as that date falls within one year of your original date, and notice is given at least nine months prior to your scheduled event. Transferred reservation fees can be used as reservation fees only and cannot be used as payment toward another event. Once 25% payment and subsequent payments are made toward the event, there is no refund upon cancellation.
Taxes & Service Charges
All food and beverages are subject to applicable sales tax and an 20% service charge. The 20% service charge is subject to state sales tax (California State Board of Equalization regulations no. 1603).
Alcohol
All alcoholic beverages, food sales, and services are regulated by the State of California. As licensee, Los Willows, is responsible for the administration of these regulations. Therefore, no food, liquor, beer, wine or beverages may be brought onto the premises from outside sources. Alcoholic beverage service will be denied to those people who appear to be intoxicated or underage. Los Willows reserves the right to close the bar at any time necessary. All alcoholic beverage service must stop thirty minutes prior to end of the event.
Tables & Area Decorations
Decorating for the wedding ceremony and reception will be arranged with your wedding coordinator. Los Willows is not responsible for assigned seating cards or the placing of such cards. No confetti, sparklers, rice, birdseed or glitter may be used on the premises for any purpose.
Menu Selections
All Weddings & Receptions must have food service as defined by buffet, sit-down or stations menu. It is advised that you make all menu selections during your complimentary food tasting or at your final detail appointment, which will take place 6-8 weeks prior to your event. A reduced rate of half-price applies to children under the age of ten up to 10 children. Infants not requiring a seat will be included at no additional charge. The Wedding Cake, unless highly specialized, is included in your reception package and tasting is available by appointment with our preferred bakeries.

Vendors
Selections of vendors (clergy, photographers, etc.) should be made as soon as possible after booking to ensure their availability. Should you allow your vendors to eat dinner, there will be a $25 charge per vendor.
Inclement Weather
Los Willows cannot be held responsible for inclement weather in any way. In the event of such conditions, the ceremony will be held inside the pavilion. Due to additional space required for the ceremony, bars, appetizers, gift & registration tables, the maximum occupancy is 165. Additional tenting is available as an upgrade.
